Facilities Coordinator [China]


 

Position

General Summary:

Responsible for maintaining all facilities in a clean, safe and efficient manner in China. This includes regular inspections of the general condition, maintenance of all equipment, general housekeeping, security system operation and proper budgeting for operating expenses based on the Retail Store Facilities and Maintenance Manual.

Responsibilities:

Store Maintenance and Control

  • Responsible for store repair and maintenance work. Determine, arrange, and follow up with local contractors where necessary.
  • Consider what operating expenses need to be adjusted, added, or deleted based on the age of the store, changing conditions and the need for repair or maintenance.
  • Regularly conduct store visits, observe and ensure compliance of store procedures and standards. Discuss with store management on repair and maintenance request and to ensure all shops in good condition.
  • Work closely with store management to ensure all employees and customers enjoy a clean and safe working environment that conforms to all company standards and local regulations.

Vendor and Supplier Negotiation and Maintenance

  • Coordinate with store management to collect regular performance feedback of housekeeping vendors and annual contract renewal.
  • Responsible for administration and maintenance of Security network systems and vendor management, including Security Access, CCTV, Alarm system maintenance vendor and Alarm monitor system vendor.
  • Prepare monthly progress report to management.

Store Daily Operation Coordination

  • Support store operations management on store daily operation coordination.
  • Update management on store daily operation. Assist management with potential enhancement idea for each store.
  • Ensure all store work in compliance with landlord, regulatory and safety requirements.

Payment Process - Coupa System Daily Operation

  • Responsible for payment process, including new supplier creation, requisition, invoicing processing, and vendor information update.
  • Work closely with Buyer, Accountant, and Supplier to ensure payment settlement working smoothly.

Store Energy Audit Supporting

  • Collect and validate each store’s energy billing on a monthly basis.
  • Upload store energy data into Credit360 before the end of fiscal year.

Qualifications Requirements:

  • College degree and above, property management or related discipline
  • 3+ years’ experience in property management or related project management, experience in retail store facility function is preferred.
  • Proven track record in store facility maintenance and operations support, and project management
  • Good team player, diligent, can-do attitude, positive and dynamic
  • Willing to work under tight schedule, pressure, and complex environment.
  • Flexibility to work non-traditional hours, days, nights, weekends, and holidays.
  • Able to travel on business requirements.
  • Good communication and interpersonal skill
  • Proficiency with Office and CAD
  • Good English communication skill both in oral and written.
